For example, if a team had 25 absent workdays out of 1,000 scheduled workdays, the absence rate was 2.5%.

Absenteeism rate formula

The calculation needs two values measured over the same population and period:

  • Absent workdays: workdays lost to the absence types included in your reporting definition.
  • Scheduled workdays: the total workdays that the same employees were scheduled to work during the period.

Formula:

(Absent workdays ÷ Scheduled workdays) × 100

The denominator is important. If the employee population or reporting period changes between the numerator and denominator, the result can become misleading.

Worked example

Suppose a department has 20 employees and, for the month being measured, there are 440 scheduled employee-workdays in total. Employees miss 11 of those workdays under the organization’s absence definition.

11 ÷ 440 × 100 = 2.5%

The department’s absence rate is 2.5% for that month.

How to calculate scheduled workdays

The denominator should reflect the total scheduled work opportunity for the population being measured.

For a simple Monday-to-Friday schedule, you can start with the number of weekdays in the reporting period and multiply by the number of employees, adjusting for each person’s actual schedule where needed.

  • 22 scheduled weekdays in the month
  • 20 employees with the same full-time schedule

What absences should be included?

Absence rate and attendance rate are related but not always exact complements unless the definitions use the same scheduled-time denominator and mutually exclusive categories.

In a simple model where every scheduled day is either attended or absent:

Attendance rate = 100% − Absence rate

If the absence rate is 3%, attendance would be 97% under that simplified definition.

Real workforce reporting may include partial days, leave categories, remote work, holidays, or other statuses, so confirm how each metric is defined before treating them as exact opposites.

Absence rate measures lost scheduled work time. Employee turnover rate measures employees leaving the organization relative to headcount.

A team can have low turnover but high absence, or high turnover but low absence. They answer different questions.

Monthly absence rate example

Assume a small organization has 1,100 scheduled employee-workdays in a month and records 33 absent workdays.

33 ÷ 1,100 × 100 = 3%

The monthly absence rate is 3%.

If the next month has 28 absences out of 1,120 scheduled workdays:

28 ÷ 1,120 × 100 = 2.5%

The rate improved from 3% to 2.5%, but it is better to review several periods before concluding that a durable trend exists.

A single percentage rarely explains the cause of absenteeism. Use the metric as a starting signal, then segment the data where appropriate.

  • month-over-month trend;
  • team or location;
  • planned vs unplanned absence;
  • full-time vs part-time schedules;
  • absence reason categories where appropriate and permitted;
  • seasonal patterns;

Be careful with very small teams. One absence can move the percentage sharply when the denominator is small.

Mixing employees or periods

Using calendar days instead of scheduled workdays

If partial days matter, convert both absence and scheduled time to a consistent unit such as hours rather than rounding everything to full days.

Treating the rate as a diagnosis

The metric shows frequency or volume of lost scheduled time, not the reason. Avoid drawing conclusions about employee behavior or management causes from the percentage alone.

Day-based vs hour-based absence rate

If employees work different shift lengths, hours can provide a more precise denominator.
